Forty-plus destination weddings in and a single truth emerges: the weddings that go well are the ones where the bride and the artist have worked through the same checklist. Forgotten trays, wrong primer, wrong altitude kit, wrong lipstick for the reception outfit — every disaster is avoidable with this list.

Three months before — alignment

  1. 01Lock the event timeline with the wedding planner — haldi / mehendi / sangeet / pheras / reception times.
  2. 02Share all outfit photos with the artist, including the jewellery for each event.
  3. 03Confirm venue names. Your artist will research light signatures.
  4. 04Share any existing skincare or makeup allergies in writing.
  5. 05Decide whether a second artist is needed for sisters / mothers of the bride.

One month before — trial & travel

  1. 01Complete the bridal trial. Schedule a second shorter trial if needed.
  2. 02Begin the 30-day skin-prep plan.
  3. 03Confirm travel tickets and stay with the artist and team.
  4. 04Confirm the day-before venue scout slot.
  5. 05Lock the touch-up plan and the bride's touch-up kit.

One week before — tightening

  1. 01Share the final runsheet with the artist. Every event, every call time, every location.
  2. 02Confirm that jewellery and outfits have arrived at the venue.
  3. 03Final skincare consultation if needed.
  4. 04Arrange room allocation — the artist should ideally be a few doors from the bride.
  5. 05Confirm the bride's personal go-bag: lipstick, blot papers, mini setting spray, hand mirror.

Day before — venue scout

  1. 01Walk every event space with the artist at the actual time of day of each event.
  2. 02Test one base product against the venue lighting at the ceremony time.
  3. 03Confirm power-point locations for the artist's station.
  4. 04Hand the touch-up kit to a named person (maid of honour, sister).
  5. 05Confirm the morning-of call time and team logistics.

Morning of — final checks

  1. 01Breakfast first. Hydration, protein. No sugar crash at hour six.
  2. 02Artist arrives at confirmed call time, not 15 minutes late.
  3. 03Base is built with venue-light test results from the day before.
  4. 04Touch-up kit confirmed, named person confirmed, timing agreed.
  5. 05Hand-mirror check at every outfit change. Two seconds, prevents an hour's regret.

The bride's personal go-bag — what to pack

  • Your wedding lipstick
  • A backup in the same shade
  • Blotting papers (not powder)
  • A travel-size setting spray
  • A tiny cream blush
  • A small hand mirror
  • Safety pins and a tiny sewing kit
  • A packet of tissues (non-lint, non-treated)

FAQs — Destination wedding logistics

How early should my artist arrive at the destination?+

Minimum 24 hours before the first event, ideally 36-48 hours. Flight delays are the single biggest destination-wedding disaster we see — buffer aggressively.

What if my artist misses a flight?+

Every serious bridal artist should have a named second-chair in the same city. Ask about this before booking, not after.

How do I budget for destination makeup?+

Add 30-50% to the studio price for domestic destinations, 50-100% for international. This covers flights, stay, two days buffer, and the second artist if needed.

Do I need a separate contract for destination bookings?+

Yes — or at least an addendum to the standard bridal contract. Cover travel responsibility, cancellation terms, and weather contingencies explicitly.
